A notification pops up on your screen after five days of waiting. You open it, hoping for a path forward, only to find five words: Contractor to coordinate in field. It is the moment you realize the coordination process failed before the architect even opened your email.

The Field Story: The Corner Clash

I recall reviewing a storefront detail at a building corner where the glass was meant to wrap around a structural beam. When looking at the design documents, there was no indication of a conflict. The concrete beam simply wasn't shown in relation to the window head.

I felt disappointed that this hadn't been caught by the architect during the shop drawing review. It was a conflict that was easy to overlook, but it simply required a more thorough review of the geometry. There was a lot happening on the job, and I didn't feel like I had the time to go through every detail of the issue with the team. The glass subcontractor was already behind in fabrication and they were not offering a path forward. In that moment, I felt the urge to take a defensive posture. Passing the problem along often feels like the easiest way out, but that only leads to more silence and more delays in the field.

The Deep Dive: The Decision Driven Coordinator

To get results, I had to move from being a processor of information to being a coordinator of answers. The strategy I use to provide this clarity is the single-page solution. This is not a shortcut. It is a professional standard for leadership. The goal is to ensure that a superintendent or a consultant can understand the entire conflict and the proposed fix on a single screen.

Applying this tool is simple but requires discipline. You provide a specific title that identifies the location and the clash. You include enlarged context of the area so the design team does not have to hunt for the drawings. You define the conflict with a clear mark-up. Finally, you propose a recommended path forward. When you offer a specific solution instead of a puzzle, you are providing the design team with the data they need to make a fast decision. It turns a week of silence into a 24-hour approval because you pre-solved the problem.

We are responsible for the accuracy of every document that leaves our desk. Leadership in coordination means being a complete communicator who provides specific data so people can make informed decisions. When we take the time to ensure our communication is complete, we are showing respect for the expertise of the design team and the time of the crews in the field.

Haste is hitting forward on a message without a review. Professional diligence is found in the focused work of the single-page solution. Providing a clear answer instead of a question is how you move the project forward efficiently. When you pre-solve the problem with a recommendation, you protect your time and ensure the precision necessary to stay present for your highest priorities.

The RFI Log: Reader Q&A

Here are two questions sent in by readers over the last week.

Question: A specified manufacturer just told us their lead time doubled and will now miss our site date. Should I push the architect for a substitution or wait it out?

Answer: Don't just ask for a substitution; present a comparison. Show the original lead time versus the current one, and find a comparable product with a confirmed production slot. When you show the architect that a "no" on the substitution means a hard stoppage on the site, you shift the decision from a design preference to a project survival requirement.

Question: We are buying out the job early to lock in prices, but the owner is worried about paying for stored materials. How do you handle that objection?

Answer: Explain the cost of delay versus the cost of storage. Use a simple analysis to show that the insurance and warehouse fees for stored material are a fraction of the cost of a one-week delay in the field. Procurement is about risk management. If the material is on the ground, the risk is gone. If it is still in a factory, you are at the mercy of a volatile market.
